Accountant panel

A central panel for accounting firms and advisors: generate tax returns in batch, track deadlines, request documents from your clients and export each client's accounting in the format your software uses.

The menu entry is My clients (route /gestoria). It only appears on accounts that have clients.

Who this journey is for, roles, and prerequisites

This guide is built for tax advisors, accounting firms (gestorías), and multi-client bookkeepers who manage bookkeeping and tax preparation for multiple self-employed professionals or companies from a single Frihet account.

Two distinct scopes interact in this workflow and must be kept separate:

ScopeWho operates itRequired plan and roleWhat appears in the UI
Firm account (Advisor)The tax advisor or accountant at the firmPremium plan on the firm's accountMy clients menu entry (/gestoria) with all 6 portfolio tabs, batch tax generation, filing queue, and accounting export.
Client workspace (End client)The self-employed client or company (and advisor)Accountant or Owner role granted on that client's workspaceThe client manages their own invoices and expenses or uploads documents via their portal link; the end client does not see the My clients menu entry.
Left sidebar visibility rule

The My clients menu entry only appears in the left sidebar once your account has at least one linked client. Before adding your first client, open app.frihet.io/gestoria directly in your browser to send the first invitation.

What an accounting firm can do with Frihet

My clients has six tabs: Clients, Obligations, Aging, Requests, Filing queue and Export.

  • Multi-client portfolio: every company you manage on one screen, with indicators per client (unpaid, month revenue, pending expenses, overdue) and a "Needs attention" list with overdue invoices, new documents and filings to review. Each card shows the Next deadline and the models affected: in red if 7 days or fewer remain, in amber if 15 or fewer.
  • Batch tax returns: generate M303, M130, M111 and M115 for several clients at once (PDF or AEAT TXT) and download them as a ZIP.
  • Health per client: each card shows the risk level (Healthy, At risk or Critical) with a score out of 100 and its trend, and the list is sorted by risk.
  • Consolidated aging: overdue invoices across the whole portfolio in current, 1-30, 31-60, 61-90 and 90+ day buckets. If the portfolio mixes currencies, Frihet does not add them up.
  • Document requests: ask each client for documents with a priority and a due date; they upload them to their portal.
  • Accounting export: download each client's accounting in the format your software needs.

Multi-client illustrative scenario (Mainland Spain and Canary Islands)

To explain the complete end-to-end flow (from the first client invitation to a period close prepared for human review, not automatically filed), we use this illustrative documentation table (Spanish CIFs A28015865, B12345674, and B35000017 pass algorithmic check-digit validation without proving census existence or real ownership, and example.com / example.org are IANA-reserved documentation domains that must not be sent as live invitations):

Client 1 (VAT territory)Estudio Norte S.L.B12345674facturacion@example.comMainland SpainQuarterly: M303 (general regime VAT), M111 (if professional IRPF withholdings apply), and M115 (if rent expenses subject to withholding exist). Eligible for Batch export (303/111/115).
Client 2 (IGIC territory)Comercial Tindaya S.L.B35000017admin@example.orgCanary IslandsSubject to IGIC according to regime (ATC M420 quarterly under general regime; M425 annual summary for periodic filers; M415 annual third-party operations return only when ATC statutory conditions are met, generally > €3,005.06 per counterparty), not mainland M303 VAT.
Canary Islands (IGIC) statutory conditions and separation of illustrative data vs. controlled mailboxes
  1. Canary Islands periodicity and conditions (ATC): the three Canary Islands forms do not apply automatically or simultaneously to every Canary Islands company. Per the Agencia Tributaria Canaria (ATC), Modelo 420 is the quarterly self-assessment under the general IGIC regime (subject to statutory exclusions for special regimes or exemptions), Modelo 425 is the annual summary return for taxpayers required to file periodic self-assessments, and Modelo 415 is an annual third-party operations declaration subject to statutory conditions (generally exceeding €3,005.06 per calendar year with a single counterparty, with specific exceptions). In Batch export, M303 applies strictly to VAT-territory clients (Estudio Norte S.L.); do not select M303 for Canary Islands clients (see IGIC and Canary Islands tax regime).
  2. Written example vs. live invitation testing: facturacion@example.com and admin@example.org are IANA-reserved documentation domains, not controlled QA mailboxes. Do not send live invitations to example.com/.org or use fictitious data in production; to test end-to-end onboarding for real, use your clients' legitimate email addresses or controlled mailboxes in an authorized QA environment (without publishing those addresses).

Step-by-step journey: from first client to prepared period close

Step 1. Invite the client and verify acceptance

  1. If you just activated the Premium plan on your accounting firm account and still have 0 linked clients, open app.frihet.io/gestoria directly and click Add client.
  2. Enter the client's legitimate email address (or a controlled mailbox in your authorized QA environment; remember that facturacion@example.com and admin@example.org in the table above are illustrative documentation values that cannot receive mail) and click Send invitation.
  3. Once the recipient opens the email in their mailbox and accepts the invitation link, your account receives Accountant access to their workspace. From that moment on, My clients remains fixed in your left sidebar and the company appears in the Clients tab.
  4. Recovery if the invitation email does not arrive: check the recipient's spam folder or mail filters and verify in My clients whether a pending invitation already exists for that address; as an immediate alternative, ask your client to open their own workspace (Settings → Team) and invite your advisor email directly with the Accountant role (once you accept from your Premium account, they appear in your portfolio). If delivery issues persist, see Quick troubleshooting and support.

Step 2. Request quarterly documents and review uploads

  1. In My clients → Requests, click New request.
  2. Select Estudio Norte S.L., enter a title (Q3 supplier invoices and office rent receipts), describe the required supporting files, set High priority, and set a due date ahead of your bookkeeping cutoff.
  3. The client receives an email with a direct link to their document portal (or you can share it via Send via WhatsApp) and uploads the PDFs there without needing access to your advisor panel.
  4. When files are uploaded, an unreviewed upload badge appears in Requests and under "Needs attention". Click Show conversation on the request to verify the files or ask follow-up questions in the thread.

Step 3. Review obligations and deadlines by tax zone

  1. Open My clients → Obligations and select the current quarter.
  2. Check which models Frihet detects for each client based on their tax zone and profile (M303, M111, and M115 for Estudio Norte S.L.; Canary Islands obligations and direct tax withholdings for Comercial Tindaya S.L.), whether period data is present, and the deadline badge color (red when 7 days or fewer remain, amber when 15 days or fewer remain).
  3. If any document received in Step 2 still needs to be booked, open the client from the Clients tab and record the entry with your accountant access before generating the draft return.

Step 4. Generate batch draft, approve in queue, and export accounting

  1. In the bulk actions bar, click Batch export.
  2. Pick the model (for example, 303 for VAT-territory clients like Estudio Norte S.L., or 111 / 115), select the output format (PDF for review or AEAT TXT for electronic filing import), and click Generate ZIP.
  3. Inspect the pre-flight Quality check: Frihet validates arithmetic and tax IDs (NIF/CIF) and flags any errors or warnings before packaging the file.
  4. Open My clients → Filing queue: locate the generated returns (Generated or Reviewing status), verify the figures, and mark them as Approved (or Rejected with a mandatory reason if an entry needs correction).
  5. Finally, go to My clients → Export, choose the format required by your firm's accounting software (A3 / Sage, ContaPlus, DATEV, SAF-T, CSV, Xero, or QuickBooks), select the quarter, and download the accounting books.

Invite clients

  1. In My clients, click Add client. If you have no clients yet and do not see My clients in the menu, open app.frihet.io/gestoria.
  2. Enter the client's email and click Send invitation.
  3. The client receives an email with a link to accept. Once accepted, you have accountant access to their data and they appear in your portfolio.

If an invitation is already pending for that email, Frihet tells you.

Your client can also invite you from Settings → Team with the Accountant role (paid plans). Once accepted, they appear in your portfolio if your account is on the Premium plan.

Enter a client

  • Without switching workspace. From the Clients tab you can run quick actions (PDF, AEAT TXT or export) for that client's current quarter.
  • Entering the client's workspace. When you open a client you work with your accountant access to their data.

Tax obligations

The Obligations tab shows, per client and quarter, whether there is data for the period and the status of the filing deadline. Frihet detects the applicable models from the client's tax zone and profile (M303 monthly or quarterly depending on turnover, with the large-company threshold at €6,010,121.04; M115 from rent expenses; M130 vs M131, M200 for companies).

Frihet does not record whether the client filed the model with AEAT or ATC: the status shows the deadline, not the filing. Monthly IGIC models (411/410/417) are not modelled.

Document requests

  1. In Requests, click New request and fill in title, detail, priority and due date.
  2. The client receives an email with a link to their portal and uploads the files there. You see a notice for unreviewed uploads.
  3. Each request has an attached conversation (Show conversation).

Extras: request Templates with variables, Bulk send of a template to several clients, and Send via WhatsApp with the portal link.

Export to A3, ContaPlus and others

In the Export tab you choose format, year, quarter (or full year) and client:

FormatTypical use
CSVExcel, Google Sheets, LibreOffice
ContaPlusSage 50, ContaSol
A3 / SageA3 Innuva, Wolters Kluwer (Spain)
DATEVDATEV EXTF (Germany)
SAF-TSAF-T XML OECD v2.0
XeroXero
QuickBooksQuickBooks

For ContaSol use the ContaPlus format.

Batch returns and filing queue

  • Batch generation: in the bulk actions bar, the Batch export button opens batch generation. Pick a model (303, 130, 111 or 115), a format (PDF or AEAT TXT) and the clients; Generate ZIP downloads the result.
  • Quality check: before generating the AEAT file, Frihet reviews the model and shows errors and warnings.
  • Filing queue: returns generated in batch appear in this tab so you can review and approve or reject them before filing.

Expected result

After completing the quarterly journey above, the accounting firm has:

  • Active client in portfolio: client card visible under My clients → Clients with a health score (0–100), risk tier (Healthy, At risk, or Critical), and next-deadline indicator.
  • Auditable document thread: supporting files uploaded by the client and reviewed inside the Requests conversation (Show conversation).
  • Quality-checked draft ZIP package: PDF or AEAT TXT files downloaded from Batch export after passing the pre-flight Quality check.
  • Reviewed queue status: return marked Approved in Filing queue, ready for the human advisor to file on the tax agency portal.
  • Accounting export file: book export downloaded from Export (A3 / Sage, ContaPlus, DATEV, SAF-T, CSV, Xero, or QuickBooks) ready to import into the firm's accounting software.

Common blockers and recovery

Symptom or blockerRoot causeHow to recover
"My clients" does not appear in the left sidebarThe account currently has 0 linked clients or is not on the Premium plan.Check Settings → Plan & Billing to confirm the Premium plan is active, then open app.frihet.io/gestoria directly to invite your first client with Add client.
Invitation email does not arrive, says "An invitation is already pending", or client accepted but is missingThe invite was sent to a documentation domain (example.com/.org), caught in spam, is still awaiting acceptance, or the client invited you from Settings → Team while your advisor account is not on Premium.Always use legitimate mailboxes (or controlled mailboxes in an authorized QA environment, never example.com/.org), check spam filters, or ask the client to invite you directly with the Accountant role from Settings → Team while your Premium plan is active.
A Canary Islands client shows no VAT on M303 or questions arise on M420 / M425 / M415Companies in the Canary Islands tax zone are subject to IGIC, not mainland M303 VAT, and their returns have distinct periodicities and conditions per the ATC (M420 quarterly under general regime, M425 annual summary, and M415 annual third-party operations generally above €3,005.06 per counterparty).Verify the client's tax zone under Settings → Tax Profile; exclude them from M303 batch runs and check which Canary Islands returns apply to their regime and volume in IGIC and Canary Islands tax regime.
The "Aging" tab does not show a single combined total across all clientsTwo or more clients issue invoices in different currencies (e.g. EUR and USD), and Frihet never sums distinct currencies without a fixed rate.Filter or inspect the aging buckets (1-30, 31-60, 61-90, 90+ days) per currency or per individual client.
I marked a return as "Approved" in the Filing queue: is it filed with AEAT/ATC?No. The Approved state in the queue records internal firm sign-off; Frihet does not submit returns telematically to AEAT or ATC.Download the AEAT TXT file (or box summary), sign in to the AEAT or ATC electronic portal with the taxpayer's or social collaborator's digital certificate, and complete the official filing there.

Current limits and next action

Keep these operational boundaries in mind when planning your portfolio close:

  • Preparation and validation ≠ electronic filing: Frihet calculates drafts, runs quality checks, and exports files (PDF, AEAT TXT, and accounting formats), but official submission before AEAT or ATC and custody of the filing receipt (NRC / CSV) are always performed by the human advisor on the tax agency's portal.
  • Batch model coverage: Batch export generates models 303, 130, 111, and 115 in bulk. Monthly IGIC returns (411, 410, 417) are not modelled in the obligations calendar.
  • Mobile queue review: you can approve or reject returns in the Filing queue from your phone by installing the PWA described in Gestoría on mobile.
  • Custom branding: to serve the client document upload portal under your firm's own subdomain, set up the Portal with custom domain.
  • Further help: if you hit a blocker with an invitation or model validation, see Quick troubleshooting and support.

Requirements

  • The accountant feature is included in the Premium plan.
  • Accessing a client's data requires being an accountant or owner of that workspace.
