Client Management
Maintain a centralized record of all your clients with their tax and contact information. Frihet automatically links each client to their invoices, quotes, and payments.
Create Client
Step 1: Access the client record
Go to Clients > New client or from the dashboard click the + Client button.
Step 2: General data
Fill in the basic information:
- Name: Client name (company or individual)
- Type: Choose Company or Individual
Step 3: Tax identification
Depending on the client type:
For companies:
- CIF: Fiscal Identification Code (e.g., A12345678)
- Company name: Official registered name
Frihet automatically validates the CIF format.
For individuals:
- NIF: Fiscal Identification Number (e.g., 12345678A)
- Full name: Surnames and name
Frihet validates that it is a valid NIF (DNI/NIE algorithm).
Step 4: Location
- Country: Spain by default (configurable)
- Region: Autonomous community (affects IGIC in Canary Islands)
- City
- Postal code
- Address: Full address
Optional if the client sells you digital services without requiring an address.
Step 5: Contact
- Email: Primary for sending invoices and receipts
- Phone: Contact number
- Website: URL if applicable (e.g., www.myclient.com)
The email is mandatory for sending documents electronically.
Step 6: Commercial terms
Customize according to agreement:
- Payment term: 30, 60, 90 days or custom
- Default discount: % automatic discount on new invoices (e.g., 5%)
- Preferred payment method: Bank transfer, cash, card, etc.
Edit Client
To change client data:
- Open Clients and select the client
- Click Edit
- Modify the necessary fields
- Click Save
Note: Tax data (CIF/NIF) are locked after the first invoice to prevent audit errors. If you need to change them, contact support.
Statistics per Client
In each client's record, you see a summary:
- Total invoiced: Total sum of all their invoices (excluding returns)
- Number of invoices: Quantity of documents issued
- Outstanding balance: Money still owed
- Last transaction: When the last invoice/payment was
- Payment rate: % of invoices paid on time

Quick View
From the client list you can:
- Filter by type (companies / individuals)
- Search by name, CIF, or email
- Sort by total invoiced, last contact, etc.
- Export list to CSV
Click on any client to see full details.
Recent Client
The last 5 clients you invoiced appear in Dashboard > Recent Clients for quick access.
Actions per Client
From the client record:
- New invoice: Create invoice for this client (pre-fills data)
- New quote: Sales proposal
- Invoice history: List of all documents
- Payment history: What has been paid and when
- Direct contact: Open email / call (if phone saved)
- Message: Send invoice or account statement by email
Frequent vs. Occasional Clients
Frihet automatically identifies:
- Recurring client: 3+ invoices in the last 6 months
- Occasional client: A single historical invoice
Recurring clients are highlighted in invoice forms (appear first in autocomplete).
Sensitive Data and Privacy
- Password: Clients can access their portal without a password (link-based authentication)
- Tax data: Stored encrypted, accessible only to you and authorities if audited
- History: Available to you indefinitely (audit)
Frihet complies with GDPR. If a client requests deletion (right to be forgotten), contact support.
Client Duplication
If you accidentally create two records for the same client:
- Open the "main" client
- Go to More actions > Merge with another client
- Select the duplicate client
- Frihet merges all invoices under a single record
- The duplicate record is deleted
Client Portal Integration
Each client has access to a Client Portal where they can view:
- Their invoices (issued)
- Their quotes (pending)
- Payment status
- Download documents
The portal is secure and accessible via a personalized link (without creating a user).
Client Details
Clicking on any client in the list opens their full record with financial information, activity history, notes, and contact persons.
